Privacy Policy
Effective Date: September 18, 2026
Pineda-Garcia Bookkeeping LLC (“we,” “us,” “our,” or “Company”) provides remote bookkeeping services and operates the website www.pineda-garciabookkeeping.com (the “Site”). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our Site, engage our services, or otherwise interact with us.
By using our Site or our services, you agree to the terms of this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not use our Site or services.
1. Information We Collect
Information You Provide Directly
When you complete our contact or intake form, engage us for services, or otherwise communicate with us, we may collect the following categories of information:
-
Identifiers, such as your name, email address, phone number, and business name and address
-
Financial and accounting information, including bank statements, transaction records, invoices, tax documents, and other financial records you provide to us for bookkeeping purposes
-
Payment information, processed on our behalf by our third-party payment processor as described below
-
Any other information you choose to include in communications with us
Sensitive Personal Information
In the course of providing bookkeeping services, we may collect certain information that California law classifies as “sensitive personal information,” including financial account, debit card, or credit card numbers in combination with any required security or access code, and, where applicable, Social Security numbers or other government-issued identification numbers (for example, when preparing Forms 1099 or W-9). We collect and use sensitive personal information solely as reasonably necessary to provide the bookkeeping services you have engaged us to perform, and we do not use or disclose sensitive personal information for any purpose that would require additional notice or an opt-in right under the CCPA/CPRA, such as inferring characteristics about you.
Information Collected Automatically
When you visit our Site, we (and our service providers) may automatically collect:
-
IP address, browser type, device type, and operating system
-
Pages visited, time spent on pages, and referring website
-
General location information (city/region level)
This information is collected through cookies and similar tracking technologies, including Google Analytics.
Information from Third-Party Services
We use the following third-party tools to operate our business, and information may pass through or be stored by them:
-
QuickBooks / accounting software — for managing bookkeeping and financial records
-
Stripe / PayPal (payment processors) — for processing payments
-
Mailchimp (or similar email service) — for sending newsletters or business communications, if you opt in
Each of these providers acts as our service provider and is contractually restricted from using your information for any purpose other than to provide services on our behalf, consistent with the requirements applicable to “service providers” under the CCPA/CPRA. Each provider also maintains its own privacy policy governing how it handles your information.
2. How We Use Your Information
We use the information we collect to:
-
Provide, manage, and improve our bookkeeping services
-
Communicate with you about your account, invoices, or inquiries
-
Process payments
-
Send marketing or informational communications, only if you have opted in
-
Analyze and improve our Site's performance
-
Comply with legal and tax obligations
-
Detect and prevent fraud or misuse
We do not use client financial data for any purpose other than providing the services you have engaged us for, unless you give us explicit permission to do otherwise.
3. How We Share Your Information
We do not sell your personal information for monetary consideration. We may share personal information with:
-
Service providers listed above (QuickBooks, Stripe/PayPal, Mailchimp), solely to perform services on our behalf and pursuant to contracts that restrict their use of your information to that purpose
-
Professional advisors (e.g., our own accountant or attorney), when necessary
-
Government or regulatory authorities, when required by law, subpoena, or legal process
-
A successor entity, in the event of a business sale, merger, or transfer
We do not disclose personal information to third parties for cross-context behavioral advertising purposes. If our use of analytics or similar tools is later determined to constitute a “sale” or “share” of personal information as those terms are defined under the CCPA/CPRA, we will update this Privacy Policy and implement an appropriate opt-out mechanism, including honoring the Global Privacy Control signal described in Section 6 below.
4. Your California Privacy Rights (CCPA/CPRA)
If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA):
-
Right to Know — request disclosure of the categories and specific pieces of personal information we have collected about you, and the purposes for collection
-
Right to Delete — request deletion of personal information we have collected, subject to certain legal exceptions (e.g., we may need to retain financial records for tax or legal compliance)
-
Right to Correct — request correction of inaccurate personal information
-
Right to Opt Out of Sale/Sharing — we do not currently sell personal information or share it for cross-context behavioral advertising; if this changes, we will provide a mechanism to opt out, including honoring the Global Privacy Control signal
-
Right to Limit Use of Sensitive Personal Information — request that we limit use of sensitive personal information (such as financial account details) to what is necessary to provide services
-
Right to Non-Discrimination — we will not discriminate against you for exercising any of these rights
Categories of personal information collected in the past 12 months (per CCPA categories): identifiers (name, email, phone); financial information; sensitive personal information (financial account numbers with access codes, and government identification numbers where applicable); commercial information; internet/network activity; and geolocation (general).
How to Submit a Request. You may submit a request to know, delete, or correct your personal information, or to limit the use of your sensitive personal information, by emailing us at alan@pineda-garciabookkeeping.com or by using the contact form on our Site. Because we operate exclusively online and maintain a direct relationship with the individuals whose information we process, we provide these two methods for submitting requests in lieu of a toll-free telephone number, consistent with applicable CCPA regulations.
Verification and Response Time. We may need to verify your identity, using a method reasonably calculated to match the information you provide against the information we maintain, before processing your request. You may designate an authorized agent to submit a request on your behalf; we may require the agent to provide proof of authorization and may still require you to verify your own identity directly with us. We will respond to a verifiable consumer request within forty-five (45) days of receipt. This period may be extended once by an additional forty-five (45) days when reasonably necessary, provided we notify you of the extension and the reason for the delay within the initial 45-day period.
Note on Applicability. We extend the rights described in this Section 4 to California users of our Site and services as a matter of good business practice, regardless of whether Pineda-Garcia Bookkeeping LLC currently meets the statutory revenue or data-volume thresholds that would otherwise make it a “business” subject to the CCPA.
5. Do Not Track and Global Privacy Control
Some web browsers offer a “Do Not Track” signal. Because there is no common industry standard for interpreting this signal, our Site does not currently respond to Do Not Track browser signals. We do, however, honor the Global Privacy Control (“GPC”), an opt-out preference signal recognized under the CCPA/CPRA, with respect to any processing of your personal information that constitutes a sale or share of personal information under California law.
6. Cookies
Our Site uses cookies and similar technologies (via Google Analytics and other tools) to understand how visitors use the Site. You can control cookies through your browser settings. Disabling cookies may affect some Site functionality.
7. Data Security
We use reasonable administrative, technical, and physical safeguards to protect your information, particularly financial data shared with us for bookkeeping purposes. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Data Breach Notification
In the event of a breach of the security of our systems that compromises unencrypted personal information, we will notify affected California residents, and, where required, the California Attorney General, in the manner and within the timeframes required under California Civil Code Section 1798.82 and other applicable law.
9. Data Retention
We retain personal and financial information only for as long as reasonably necessary to fulfill the purposes for which it was collected, consistent with the following general criteria:
-
Bookkeeping, financial, and accounting records are retained for seven (7) years following the end of the engagement, consistent with applicable tax and recordkeeping requirements
-
Contact and intake information for prospective clients who do not engage our services is retained for up to three (3) years
-
Website analytics data is retained in accordance with the retention settings of our analytics provider, currently Google Analytics, unless we determine that a shorter period is appropriate
-
We may retain information for a longer period where necessary to comply with a legal obligation, resolve a dispute, or enforce our agreements
10. Automated Decision-Making
We do not currently use automated decision-making technology to make decisions that produce legal or similarly significant effects concerning you. If this changes, we will update this Privacy Policy consistent with applicable CCPA regulations governing automated decision-making technology.
11. Children's Privacy
Our Site and services are not directed to individuals under 18. We do not knowingly collect personal information from children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised “Effective Date.”
